When the new UAD 3.6 appraisal standards become mandatory for new Fannie Mae and Freddie Mac appraisal submissions on November 2, 2026, appraisers will report property information in greater and more standardized detail.
For sellers, this makes one traditional practice more valuable than ever: keeping good records.
An appraiser must remain independent and determine value from credible market evidence. A seller cannot dictate the value or expect to recover every dollar spent on an improvement. However, a clear and factual property package can help prevent legitimate features, renovations, and replacements from being misunderstood or overlooked.
## What belongs in a seller appraisal package?
Create a chronological list of major work completed on the property. For each item, include the completion date, contractor, permit information when applicable, and approximate cost. Attach paid invoices, warranties, photographs, plans, and final inspection records when available.
Useful documentation may include:
- Roof replacement or repair records
- HVAC and ductwork replacements
- Water-heater information
- Plumbing and electrical upgrades
- Kitchen and bathroom renovations
- Flooring replacements
- Window, exterior-door, shutter, and garage-door documentation
- Pool, spa, screen-enclosure, or outdoor-kitchen improvements
- Solar-panel ownership, financing, or lease documents
- Generator specifications and transfer information
- Additions, conversions, or accessory-building permits
- Floor plans, surveys, and builder specifications
- Termite-treatment and transferable warranty information
Keep the summary concise. A well-organized two-page list supported by documentation is more useful than handing someone an unsorted box of receipts dating back to the Reagan administration.
## Southwest Florida features deserve special attention
Naples and Southwest Florida properties have characteristics that may not be obvious during a short visit. Sellers should document features related to wind protection, flooding, storms, waterfront access, and coastal construction.
Consider including:
- Impact-resistant window and door specifications
- Accordion shutters or other opening-protection records
- Roof permits and installation dates
- Elevation certificates and flood-zone information
- Flood vents or other mitigation measures
- Post-storm remediation and repair documentation
- Seawall, dock, boat-lift, and shoreline permits
- Whole-house generators and propane tanks
- Pool equipment and recent resurfacing
- Irrigation systems and well information
- Energy-efficient equipment or insulation
If a feature is leased, financed, shared, or governed by an association, disclose that clearly. Solar panels are a good example: owned and leased systems may be treated differently by lenders and market participants.
## Condition still matters
Documentation does not replace good presentation. Before the appraisal visit, complete practical maintenance items, make all areas safely accessible, replace burned-out bulbs, address active leaks, secure pets, and make sure mechanical systems can be observed.
The home does not need to resemble a furniture showroom. Appraisers are trained to look beyond decorating. Nevertheless, accessibility and visible maintenance make it easier to inspect and accurately report the property.
Do not conceal defects or make unsupported claims. The objective is an accurate appraisal—not a theatrical production.
## How should the information reach the appraiser?
The listing agent should coordinate with the lender or appraisal-management company and follow the permitted communication process. The package can include the MLS information, improvement summary, floor plan, documentation, and relevant market data.
Neither the seller nor agent should pressure the appraiser, demand a particular number, or imply that future business depends on the result. Facts and credible comparable sales are appropriate; coercion is not.
## Start before you receive an offer
The worst time to begin searching for a ten-year-old roof invoice is the morning of the appraisal. Assemble the file when the home is listed. That gives your agent time to review it, correct discrepancies, and incorporate important facts into the marketing.
At Quintessential Naples, we help sellers prepare an organized property record so buyers, appraisers, and lenders receive consistent information throughout the transaction.

## Seller appraisal package FAQ
**Do renovation costs equal added appraised value?**
Not necessarily. Cost and market value are different. Appraisers consider how buyers in the local market respond to an improvement and what comparable sales support.
**Should sellers give receipts directly to the appraiser?**
Coordinate through the listing agent and follow the lender or appraisal-management company’s permitted process. A concise summary supported by invoices, permits, and warranties is usually most helpful.
**Which records matter most for Southwest Florida homes?**
Roof, HVAC, impact protection, flood mitigation, generator, pool, solar, seawall, dock, boat-lift, permitted-addition, and post-storm repair documentation can be particularly relevant.
**When should the seller’s appraisal package be assembled?**
Ideally, when the property is listed—not after the appraisal appointment is scheduled.
## Key takeaways for sellers
- Document major improvements with dates, permits, invoices, and warranties.
- Give special attention to roof, wind, flood, solar, pool, and waterfront records.
- Correct property-information discrepancies before the home goes under contract.
- Provide facts and evidence without suggesting or pressuring for a particular value.
